Shift Details: 12pm to 5 pm (4 days) and 1pm to 5 pm (1 day ) - Total - 24 hrs.

St. Vincent’s Medical Center in Bridgeport has more than 3,200 employees. It includes a 473-bed community teaching hospital, a 76-bed inpatient psychiatric facility in Westport, a large multispecialty provider group, and special needs services for adults and children. St. Vincent’s is the first hospital in Fairfield County to be integrated into the Hartford HealthCare network, and is the system’s second-largest hospital.

The Administrative Assistant is responsible for processing incoming Surgical and Cytology cases per department policy to include accessioning, registering office referrals, typing procedure reports, scanning reports, billing, etc.  He/She maintains efficient flow of data and long term storage to include filing correspondence and reports.  He/She screens and refers all incoming phone calls including Cytology to present the department in a positive manner.  Maintaining office supplies is also the responsibility of the administrative assistant as well as maintaining inventory for send-out supplies. 

The Administrative Assistant also performs the following:

  • Assigns physicians their cases
  • Prepares specimen requisitions that have been accessioned at end of day for Histology techs
  • Maintains Lab coat lockers, personal lockers, and Laboratory Department Telephone list
  • Types and distributes Pathologists schedules for upcoming month
  • Updates surgical/cytology requisitions as needed and maintains inventory for referral offices
  • Liaison for Chairman to referring offices
  • Prepares General Tumor Board, Breast Care, and CNS conferences to include obtaining outside facility slides and reports and accessioning these outside cases
  • Prepares and maintains legal cases for Department as well as corresponding with the Legal Department for HHC
  • Records refrigerator temperatures daily
  • Prepares cases to send out for further testing, second opinions, etc. including sending cases to Hartford HealthCare Pathology Departments
  • Performs any duties per request of Department Chairman and staff pathologists
  • Obtain mail from Mail Room, open and distribute
  • Prepare monthly Peer Review agenda and distribute
  • Dispatch FCPC courier to referring offices for specimen pick-up daily


  • Associates Degree Preferred
  • Knowledge of Medical Terminology
  • 5 years prior related executive/administrative role preferred.
  • 2 years’ experience in secretarial position preferred.
