Under the direction of the Administrative and Medical Directors and the Laboratory Manager, the Administrative Coordinator provides administrative support to the Clinical Laboratory and to the Department of Pathology and its staff.  This position provides support with department timekeeping, recording department meeting minutes, maintaining schedules, sending correspondence, as well as being the liaison for the Laboratory interacting with staff and patients in all hospital departments on all campuses.


The Administrative Coordinator responsibilities include:


  • Coordinates daily office operations for the Laboratory
  • Maintains calendars for Lab Management Team
  • Maintains Laboratory Quality Monitors as well as tracking QI’s for the Laboratory
  • Assists Lab Manager in gathering, organizing and preparing documents for laboratory accreditation and state licensure
  • Coordinates receipt of proficiency testing and distribution to appropriate section as well as maintaining the survey results records
  • Assisting management and staff with reimbursement requests
  • Maintains and works with team on the Laboratory Lean Huddle Board
  • Provide administrative and clerical support to the laboratory team
  • Process payroll daily to ensure timely and accurate payroll as well as provide backup support to the supervisors
  • Collect, collate and distribute data from all three campuses for Administrative Director
  • Provide guidance and support to staff for timekeeping issues
  • Run financials and prepare statistical reports for Administrative Director
  • Organize, schedule, and distribute materials and agendas for departmental meetings as well as prepare minutes from those meetings
  • Assemble new employee files and maintain employee database along with maintaining up to date medical licenses and ASCP certificates for the Laboratory
  • Work with the management team to ensure that all policies are uploaded and current on Policy Tech
  • Assist Lab Manager and Supervisors with projects as necessary
  • Other duties as requested/needed


  • Experience in use of Microsoft Office (Word, Excel, Powerpoint)
  • Associates Degree required, Bachelor’s degree preferred.
  • Knowledge of Medical Terminology
  • 5 years prior related Executive/Administrative experience in a healthcare setting.
  • Excellent interpersonal skills.
  • Knowledge and skill to independently plan, prioritize, implement and follow-through on tasks with competing deadlines.
  • Excellent oral communication skills in person and over the telephone.
