Job Summary:

Coordinates the day-to-day administration of the academic and operational activities of one or more  of the following;  Accreditation Council for Graduate Medical Education (ACGME) residency and/or fellowship training program(s),  Internships, Allied Health or PA/AP programs in collaboration with the Manager of Medical Education and includes Program Directors, Program Liaisons, Preceptors, Office of Advance Practice, attending faculty, residents/fellows, medical students and all learners and if applicable, the University of CT (UConn) GME office. All activities are performed in accordance with Institutional Program guidelines, ACGME guidelines, Hartford Hospital GME policies and if applicable, the University of Connecticut. 

Job Responsibilities:

  • Collaborates with Program institutional liaisons and program coordinators to assure compliance with all program requirements and provides educational coordination between program directors, institutional school contacts, attending physicians/faculty, preceptors and UConn GME Office, if applicable.
  • Provides administrative support to Medical Education Administrative Office. Completes other responsibilities as assigned/deemed by the manager to meet all specific program(s) and Departmental objectives.
  • Coordinates required documentation for specific program affiliations, institutions, on-boards and processing of house staff residents/fellows, medical students, interns, allied Health, NP, AP among other learners which will include scheduling EPIC training, badging among various program specific requirements.
  • Provides administrative oversight for all program assigned to include but not limited to rotation and education schedules, preparing reports, handling inquiries, maintaining current manuals, maintaining program files, and assisting in requests for verification of training.
  • Maintains/works with applicable program databases/systems [i.e. New Innovations, blackboard, websites, if applicable, NRMP, WebADS, AMINO
  • Mentor/trainer for all Hartford Hospital program coordinators, specifically for training/mentoring of the New Innovations software database for learners processed throughout Hartford Hospital, (residents, fellows, medical students, interns among numerous other types of learners), in addition to accreditation and specific program requirements.
  • Responsibilities includes reporting of imperative statistics requested by HHC/HH administration in terms of current learners on site.  This database is highly imperative to all programs as all program detail and information in terms of schedules, demographics, evaluations, portfolios, duty hours are held within database. Imperative that information is accurate for IME/GME IRIS reporting for medicare reimbursement to Hartford Hospital of approximately $45,000,000 each academic year
  • Actively involved in recruitment of Summer Pre-Med and Research students including collaboration with screening of applications to ensure qualification, scheduling interviews and program related activities.
  • Actively involved in annual program orientations, hiring GME onboarding requirements, credentialing and graduation requirements for housestaff residents and fellows.
  • Engages in life-long learning by taking courses the further professional growth ,knowledge and expertise to enhance residency program management skills



  • Associate’s Degree in business administration, secretarial science or related field
  • Or, equivalency of combined education and/or experience.
  • Three (3) years’ experience providing high level administrative support to a complex department, function or group of professionals.
  • Prior work experience in an academic medical center as a Residency or Fellowship Program Coordinator and/or Program Site Coordinator preferred.
  • Training Administrators of Graduate Medical Education (TAGME) Certification preferred.
