St. Vincent’s Medical Center in Bridgeport has more than 3,200 employees. It includes a 473-bed community teaching hospital, a 76-bed inpatient psychiatric facility in Westport, a large multispecialty provider group, and special needs services for adults and children. St. Vincent’s is the first hospital in Fairfield County to be integrated into the Hartford HealthCare network, and is the system’s second-largest hospital.

Overview

We are seeking an experienced administrative profession for our Department of Surgery.

The Administrative Assistant will perform multi-dimensional administrative tasks that require creativity and independent, discretionary judgment to meet the needs of a manager or function.  May act on behalf of superior on routine matters within established guidelines.  Reports to assigned manager.

 

Position Description

Provide efficient, accurate, and timely administrative support to contribute to the success of the area by performing a variety of administrative duties. Compose correspondence and create reports using advanced computer programs and graphics skills to design formats.  Design and maintain spreadsheets and databases using advanced features such as macros and linking of applications (i.e. spreadsheets and word-processing). Prepare analyses and reports based on the data.  Design standard records/forms/logs.  Schedule appointments, coordinate meetings, and make travel arrangements. Maintain selected files for management. Monitor and report on budget and/or other performance measures.  Participate in activities dealing with sensitive and confidential issues and information involving Human Resources or other department or function issues.

Qualifications

 

  • High school diploma or equivalent required, Associates degree preferred.
  • Three years previous secretarial experience with an additional two years of education beyond High School or two years of high-level secretarial experience.

Critical Success Factors

  • Excellent communication skills, both written and verbal.
  • High degree of confidentiality, must have an ability to handle sensitive and confidential information and documents appropriately.
  • Strong planning and analytical skills and sound judgment are needed to achieve desired outcomes.
  • Excellent computer skills, including Microsoft Office suite. Database experience preferred.
  • Ability to prioritize, complete multiple assignments and coordinate and monitor workflow.
