Provides primary support to the Regional Director of Clinical Operations and will provide backup secretarial, clerical and administrative assistance to the executive staff and other assigned administrative staff
Supervises assigned support positions
In general, most of the time will be spent in the following activities:
Types and/or composes letters and other correspondence; records and transcribes minutes of meetings; and takes dictation and/or transcribes from dictating equipment.
Responsible for overall Agency clinical contracts. To include such duties as maintaining an organized data base, renewal of contracts and update/s of all clinical contracts.
Acts as a back up to the Executive Assistant, if he/she is out or requires additional assistance.
Maintains calendars and room reservation log, arranges meetings, schedules appointments and makes travel arrangements
Maintains assigned files; receives, reviews, prioritizes and distributes incoming and outgoing mail and; answers telephone calls and records messages
Compiles and produces reports and/or presentations for Regional Director, Clinical Operations and possibly Executive staff.
Design and/or revise Agency forms; coordinate the printing of forms and business cards with outside vendor.
Update Agency manuals; maintain Agency mailing lists; and assist in maintaining office records relating to leases, contracts, equipment and warranties.
Completes highly confidential work for Regional Director, Clinical Operations, Executives and administrative staff
Hires, trains, coaches and evaluates staff
Initiates changes in work assignments or processes to improve efficiency
In addition, the position involves other duties such as:
Assists with office supply inventory and requisitions
Researches data for various reports
Coordinates and assists in special project assignments
Assists the receptionist and/or Agency telephone coverage as needed
Will actively participate in the performance improvement process known as H3W
Performs other duties as assigned
High School diploma or equivalent; one year business/secretarial training or equivalent work experience
Three years secretarial experience
Typing 60 wpm, Microsoft Office computer literate especially in the use of word, excel, and power point; proofreading and language skills; transcription, stenography or speed writing skills; knowledge of office procedures/equipment
