St. Vincent’s Medical Center in Bridgeport has more than 3,200 employees. It includes a 473-bed community teaching hospital, a 76-bed inpatient psychiatric facility in Westport, a large multispecialty provider group, and special needs services for adults and children. St. Vincent’s is the first hospital in Fairfield County to be integrated into the Hartford HealthCare network and is the system’s second-largest hospital.

Summary

Create and maintain staffing matrices for clinical areas adhering to budgeted FTEs while ensuring adequate and equitable staffing, with consideration of special skills and competencies required for the clinical area.  Maintain the accuracy of UKG Dimensions schedule and timecards to reflect all changes during the schedule/pay period. (RNs, PCTs, cPCTs, PCOs, USs, MHWs, MTs).

 

JOB RESPONSIBILITIES

 

·        Build professional relationships with unit leadership and staff.

·        Work collaboratively with clinical unit leadership to understand the unique needs of each unit, staff competencies required to meet unit needs each shift, unit census trends, and scheduling nuances.

·        Approve/Refuse “requested day off” requests.

·        With unit leadership, approve/refuse PTO requests to meet budgeted allotments.

·        Data collection for reporting on financial indicators and staffing data.

·        Bi-weekly payroll support for unit managers.

·        Assist unit leadership in FTE variance and PAAPs.

·        Email unit manager upcoming schedule block, Request/PTO dates, and group scheduling dates.

·        Collaborate with unit leadership for upcoming changes (FTE, FMLA/LOA, workers comp, TMD, new hires, weekend changes, additional skills orientation…).

·        Maintain a log of employee scheduling preferences.

·        Daily rounds and check-in with unit leadership.

·        Schedule staff summer PTO per HHC and Unit guidelines, adhering to budgeted FTEs.

·        Generate schedules for self-scheduling.

·        Reconcile 6-week schedule, ensuring equitable staffing across shifts, meet with unit leadership for approval.  Notify the Nursing Service Office of staffing gaps greater than 25%.

·        Post unit schedule for staff to have visibility on, or before, UKG Dimensions schedule dates.

·        Respond to unit leadership emails within 24 hours (72 hours on weekends).

·        Respond to staff emails within 48 hours (72 hours on weekends) for schedule changes and switches.

·        Create and maintain approval/refusal of Open Shifts.

·        Maintain Orientation, Education, and Skills in UKG Dimensions.

·        Maintain and monitor holiday groups and weekend patterns.

·        Routine tracking of missed weekend/holiday shifts and rescheduling per HHC and Unit guidelines.

·        Routine reconciling of timecards managing missed punches, labor transfers, job transfers, unexcused absences, unscheduled PTO.

·        Timecard review on the Sunday before payroll Monday.

·        Monthly email to unit leadership, and director, of staffs’ cumulative unscheduled PTO.

·        Kronos training of unit staff for self-scheduling, managing timecards, and navigating changes and adjustments.

·        Perform other related duties as required.

Qualifications

 

·        Bachelor’s Degree or equivalent experience.

 


Knowledge, Skills and Ability Requirements:

 

·        Microsoft Office, UKG Dimensions.

·        Ability to work in a fast-paced environment with minimal direct supervision.

·        High level of interpersonal skills, excellent communication, and a demonstrated ability to interact successfully on the telephone with the ability to both understand and apply contract language.
