We all know someone who has struggled with addiction, and the toll that alcohol and drugs can take. That’s why the  Hartford HealthCare Behavioral Health Network and Rushford will be opening The Ridge Recovery Center, a first of its kind facility in Windham, CT. Located on 55 secluded acres off Route 32,  The Ridge will combine evidence-based treatment with wellness activities and amenities in a private, professional setting that includes private rooms, larger gathering areas, private meeting rooms, a comfortable dining room, fitness gym, and office space. The site also includes peaceful outdoor spaces and walking trails ideal for those in recovery who want to exercise, do yoga or go bird watching, just to name a few activities.

Job Summary

This Administrative Assistant IV performs multi-dimensional complex administrative tasks that require self-direction, creativity, and independent and discretionary judgment to meet the needs of the Medical Director/Vice President.

Key Accountabilities

  • Provide efficient, accurate, and timely administrative support to contribute to the success of the department.
  • Create and prepare correspondence using most advanced PC skills.
  • Vast latitude for independent judgment and action on assigned responsibilities, and to act on behalf of the Medical Director to initiate activities and resolve issues.
  • Screen correspondence and visitors, schedule appointments, organize
    meetings and take minutes
  • Participate in activities dealing with sensitive and confidential issues and information involving Human Resources or other issues impacting the organization.
  • Perform various responsibilities that contribute to the smooth flow of information within the department, organization and external customers
  • Take action based on independent judgment, understanding the impact across the organization. Involves others both within and outside the area as needed, or refers to a higher authority when appropriate.
  • Complete assigned portion of the work area's processes or projects to contribute to its effective operation.
  • May perform or coordinate varied and complex processes and determine the most appropriate methods and procedures.
  • May facilitate, coordinate, or oversee the work of others in the process. Requires planning, analysis and judgment to achieve desired outcomes. Provide direction and training to others as necessary. Specific responsibilities are typically similar those included under the Clerical, Administrative, and Communications accountabilities.
  • Contribute to the success of the department by coordinating or performing a variety of clerical duties

Key Areas of Responsibility

  • Medical Staff Reappointments every two years for all medical providers. Ensure MD, PA, APRNs have proper privileges and licenses up to date for patient care.
  • Renew licenses and DEA in a timely manner for our facilities
  • Maintain on-call calendar schedule
  • Assist with yearly Medical Staff Budget
  • Payroll
  • Prepare travel and general expense vouchers as well as reimbursements
  • Calendar management for Medical Director

Qualifications

  • High school diploma required
  • Three years previous secretarial experience with an additional two years of education beyond High School or two years of high level secretarial experience
  • Associate’s Degree (Preferred)
  • Three to five years in a related role supporting Medical Director/Vice President in hospital or medical setting (Preferred)
  • Proficiency in the use of the Microsoft Office product suite
  • Excellent communication skill, both written and verbal
  • Extremely organized and able to work independently without supervision
  • Payroll experience – KRONOS Dimension a plus
