Job Summary:
Performs multi-dimensional administrative tasks that require creativity and independent, discretionary judgment to meet the needs of a manager or function. May act on behalf of superior on routine matters within established guidelines. Reports to assigned manager.
Supports Director level management or above.
Job Responsibilities:
Provide efficient, accurate, and timely administrative support to contribute to the success of the area by performing a variety of administrative duties. Compose correspondence and create reports using advanced computer programs and graphics skills to design formats. Design and maintain spreadsheets and databases using advanced features such as macros and linking of applications (i.e. spreadsheets and word-processing). Prepare analyses and reports based on the data. Design standard records/forms/logs. Schedule appointments, coordinate meetings, and make travel arrangements. Maintain selected files for management. Monitor and report on budget and/or other performance measures. Participate in activities dealing with sensitive and confidential issues and information involving Human Resources or other department or function issues.
Contribute to the smooth flow of information within the area, and to and from customers and other areas. Respond to complex inquiries regarding own work. Take action based on independent judgment, understanding the impact across the organization. Involve others both within and outside the area needed, or refer to a higher authority when appropriate.
Complete assigned portion of the work area's processes or projects to contribute to its effective operation. Perform or coordinate varied and complex processes and determine the most appropriate methods and procedures. May facilitate, coordinate, or oversee the work of others in the process(es). Provide direction and training to others as necessary.
Contribute to the success of the work area by coordinating or performing a variety of administrative duties. Determine best approach to streamline processes and modify procedures as required. Maintain files in a complete, accurate, and timely fashion in accordance with the standards of the work area. Recommend changes to system to meet changing needs. May assign work to others.
Demonstrate competencies, including knowledge and behaviors, to meet age and situational specific patient needs.
Work effectively as a team member within the department and with customers to provide quality service to hospital units through communication, cooperation and collaboration.
Assume responsibility for self-improvement by collaborating with manager to identify growth opportunities and resources.
Qualifications
Education
High School diploma or equivalency required.
Associates degree preferred.
Experience
Three years previous secretarial experience with an additional two years of education beyond High School or two years of high level secretarial experience.
Knowledge, Skills and Ability Requirements:
Excellent communication skills, both written and verbal.
High degree of confidentiality, must have an ability to handle sensitive and confidential information and documents appropriately.
Strong planning and analytical skills and sound judgment are needed to achieve desired outcomes.
Excellent computer skills, including Microsoft Office suite. Database experience preferred.
