Position Summary:
Reporting to the Manager of Provider Integration, the Onboard Specialist will lead support efforts to create an exceptional onboard experience for HHC provider employees. Provide coordination and support to internal customers involved with the provider onboarding process. Together with the director, physician leader, operations leaders, and other stakeholders, develops and executes comprehensive and effective onboarding processes to ensure an impactful candidate to new hire experience that successfully relocates, orients, provisions and integrates the new physician into the service line, hospital, medical group, and organizational culture.
Position Responsibilities:
Coordinates the integration activities for providers using a project management approach and supported by the EMBARK system. Works with physician and operations leaders to customize the integration process as necessary to meet the individual needs of new providers
With each medical director and service line director, as appropriate, identifies essential tasks and task holders involved in the on-boarding of a new provider including the CVO, hospital medical staff offices, marketing, physician relations, real estate and relocation, provisioning, legal, physician recruitment, practice management, and human resources.
Coordinates with practice manager and support teams to develop and execute a comprehensive onboarding checklist
Establishes highly effective working relationships with the new physician, internal customers, CVO and all on-board stakeholder departments to skillfully coordinate and monitor the progress of on-board efforts.
Participates in Monthly onboarding calls with operational leadership teams to provide onboarding updates: credentialing / privileging status, orientation dates / information to meet on-board timelines and expectations.
Communicates regularly with new provider prior to keep the candidate and manager informed about credentialing progress and orientation schedule. Provides organization and community information.
Liaison to all onboard stakeholders for communication, removing barriers, solutions to problems.
Participates in on-board process improvement activities and the selection of new tools and technology to support the on-board team and track progress.
Schedules orientation coordination
Participates in weekly CVO credentialing progress meeting.
Delivers essential pre-hire information to the new provider.
May support recruitment and on-board events to offer a high level introduction to the structure and culture of Hartford HealthCare.
May support the planning of candidate visits during the recruitment and on-board process.
Tracks onboard expenses.
Advises and trains hiring managers on the use of EMBARK and other aspects of onboarding.
Assumes responsibility for own professional development including membership in the AAPPR chapter of the Onboarding and Retention network (OAR). Seeks innovation and best practice in provider integration and incorporates into the organization’s onboarding efforts.
Qualifications
Requirements:
Minimum of three years of progressive experience in administrative support positions in a medical environment with frequent physician interaction. Onboarding or credentialing experience preferred.
Candidates should be highly organized, with experience working in a high volume environment
Professional presentation
Ability to work well with employees at all levels of the organization
