The creation of the HHC System Support Office recognizes the work of a large and growing group of employees whose responsibilities are continually evolving so that we and our departments now work on behalf of the system as a whole, rather than a single member organization.
With the creation of our new umbrella organization we now have our own identity with a unique payroll, benefits, performance management system, service recognition programs and other common practices across the system.

Position Responsibilities:

  • Performs a variety of administrative functions that require creativity and independent thinking. Requires discretionary judgment to meet the needs of the department. Must have knowledge of the department policies to provide accurate information to customers in a professional manner. A function of this role is to triage calls from the clinical staff regarding medical equipment to the Biomedical Engineering Technician & Engineers.
  • Performs various tasks including
  • Maintain department calendars
  • Scheduling appointments
  • Organizing meetings
  • Responsible for taking minutes at meetings and post them on a shared department drive.
  • Monitoring and ordering office supplies
  • Provide monthly expense reports
  • Receiving and delivering interoffice correspondence and reports

Process department purchase order requests including:

  • Tracking
  • Ensuring proper signatures are obtained
  • Routing, and coordinating with Supply Chain
  • Implements acquisition procedures
  • Invoice review
  • Manages parts inventory for the Biomedical Engineering Department
  • Assist in compiling information for department’s budget request
  • Service Contract coordination and input into PeopleSoft and the department’s asset management database – “Connectiv”.



  • Associates Degree required. Additional education preferred.
  • Three to six years of previous secretarial experience with an additional two years of high level administrative experience.
  • Proficient in the use of computers, faxes and copiers. Knowledge of developing and editing content in Word, Excel, PowerPoint and Outlook.
  • Experience with inventory control and purchase acquisition process.
  • Excellent communication skills, both written and verbal.
  • Detail oriented with strong organizational skills.
  • High degree of discretion, dedication and integrity.
