Job Summary
Under the supervision of the Office Coordinator and Manager, the Secretary will perform delegated functions to provide a variety of multi-skilled services to ensure a high functioning team to meet our patient and physician expectations. He/she performs a variety of confidential duties under the general direction of the department management including but not limited to chart management and general receptionist and clerical duties in order to facilitate efficient functioning of the department. In addition, supports hospital/department performance improvement strategies.

Responsibilities

 Works effectively as part of the healthcare team to facilitate the clinics ability to meet its goals and objectives.
 Supports scheduling, follow up and over site for the medical record
 Demonstrates ability to navigate patient information
 Communicates to management any staffing concerns and/or changes
 Follows established guidelines for scheduling and follow up appointments
 Promotes a positive and professional image through customer service including answering the telephone
 Provides and gives cooperative and courteous service to patients, staff, visitors, medical staff and others as part of the organization’s commitment to quality services
 Facilitates patient disposition by faxing information to referring clinics.
 Prepares documentation and data collection of information system quality control to monitor and improve the unit flow and function. Provides results to Management.
 Accurately identifies real/potential problems affecting the service and implements solutions with follow-through and communication. This includes but not limited to collaborating with IS department for computer, printer, and fax machine issues identified
 Orders supplies
 Responds to real/potential problems based on urgency and institutes corrective action with the direction of management
 Documents accordingly in electronic medical record and monitors queues taking action as needed
 Schedules and coordinates cardiology diagnostic testing
 Communicates appropriate information to Team members to provide optimum safety and quality care
 Works with third party payers to verify member coverage and obtain prior insurance authorizations
 Ensures all required orders and documentation is received prior to procedure or diagnostic testing
 Demonstrates ability to process go-pays, collection and documents correctly at time of visit
 Maintains the area, equipment and level of supplies
 Performs other duties as assigned.

Qualifications

 High School graduate
 Two years of medical secretary experience
 Associates in the medical field preferred
 Bilingual helpful
